Academic Early Warning

What is Academic Early Warning? Academic Early Warning is a 4-week warning system that allows faculty to express concern about students in a formal way. It is also an opportunity for students to receive support early, which will increase their chances of success in their classes and in college.
Does this replace midterms? No, midterms reports will continue to be issued.

Must I participate? It is critical that you participate in this program because it is an important way to support our students. Supporting students early is the best way to steer them toward success. Your participation is necessary for this to be a valuable student support tool.

What if I don’t have any grades recorded for my students at this point? Academic Early Warning is NOT a grade; however, if your student has not performed well on the assignments or exams so far, this student would be a good candidate for AEW.  Grades are not the only signal of struggle.

Who is eligible for Academic Early Warning? Any student on your class list who is exhibiting behaviors that you believe will ultimately affect the outcome of the course (e.g. student has poor attendance, is consistently tardy, has a poor attitude, seems depressed, displays general malaise or unusual behaviors,  seems to suffer from high anxiety, is uncooperative, shows high levels of communication apprehension, is experiencing language difficulties,  is experiencing aptitude difficulties, shows signs of substance abuse, shows an unusually aggressive or passive attitude, etc.).

Where can I find my Queens ID number to access my classes? You can find your Queens ID number on your Queens ID card. If you do not know your ID number, please contact the Office of the Registrar at 704.337.2242.

How do I report a student who attended my class before, but seems to have stopped attending? “Stopped Attending” is an option on the pull-down menu. Choose this option if a student has attended your class at least once, but seems to have stopped attending.

What if I make a mistake? Once you submit your warnings, you will automatically see a cumulative report of what you did. If you misreported something, you have the option to edit your submission at any time. An Edit function will appear beside your class as soon as you have submitted your warnings.

Will my students know that they have been flagged? Every flagged student will receive a message notifying him/her of the warning. The content of the message will vary depending on the quantity of flags the student receives and the depth of the comment. If a student receives one early warning for an English course, and the message suggests visiting the writing center, it will be obvious which professor flagged the student. The students will not see the comments you make.  You comments, therefore, are important for the outreach team to undersatnd the issue.

Should I tell my students that I’ve reported them? You don’t have to tell your student that you reported him/her, but a conversation about the issue may inspire academic progress and teacher-student rapport.

Who will be reaching out to my students? The outreach team is led by Lauren Marin, Academic Advisor in the Center for Student Success. The team will reach out to each student with an individual message catered to the type and number of reports. A case will be created for every student and managed over time.

What about Hayworth and ASN students? If you have student who has stopped attending your class or who are struggling, report them. This way, you do not have to worry about categorizing students. We will send the names of students in these colleges to the right person.
