Responsibilities & Compliance

Employer Responsibilities

In order to maximize the internship experience, employers are asked to:

  • meet with the student prior to the start of the internship to describe the expectations, Learning Objectives and action plans, assign specific responsibilities, agree on a work schedule, designate an on-site supervisor and complete the Queens Internship Contract. The Internship Contract is a required document that serves as an agreement between the student, employer and Queens. It includes detailed information about the internship and identifies the Learning Objectives, which are critical to the success of the experience. Supervisors will receive an email when the contract is approved. Students may begin their work hours when you receive this email from the Vandiver Center for Career Development Office. Students may not begin the internship without approval.
  • monitor the intern’s performance and progress during the internship and hold periodic review sessions (bi-weekly at a minimum) to review performance and provide feedback. The student and supervisor should regularly review the status of the agreed upon Learning Objectives and action plans.
  • approve and sign the Work Hours Log that the student is responsible for maintaining and submitting.
  • evaluate the quality of the intern’s job performance and progress with Learning Objectives through the end of the semester evaluation form that Vandiver Center for Career Development will email to you.
  • schedule a meeting to provide end of term feedback.
  • promptly contact the Vandiver Center for Career Development Office for any issues or concerns that arise during the internship.

Required Hours and Credits

Due to the academic nature of the internship, as an internship supervisor, it is important that you are aware of the course requirements for your intern. Please discuss hourly requirements with your intern to ensure he/she can meet your expectations as well as the university’s requirements.

Employer Compliance

In addition to providing students with an excellent learning experience, Queens expects that internship sites will provide a safe workplace, adequate supervision, training and follow all federal, state and relevant professional association requirements, including the regulations outlined in the Fair Labor Standards Act and EEOC guidelines.  

Queens additionally uses NACE (National Association of College and Employers) criteria to assess the legitimacy and value of a proposed internship experience. To be considered a legitimate internship by the NACE definition, the following criteria must be met: 

  • The experience must be an extension of the classroom: a learning experience that provides for applying the knowledge gained in the classroom.  It must not be simply to advance the operations of the employer or be the work that a regular employee would routinely perform.
  • The skills or knowledge learned must be transferable to other employment settings.
  • The experience has a defined beginning and end, and a job description with desired qualifications.
  • The majority of the intern's work hours must be completed in a professional setting with an onsite supervisor.
  • There are clearly defined learning objectives/goals related to the professional goals of the student’s academic coursework.
  • There is supervision by a professional with expertise and educational and/or professional background in the field of the experience.
  • There is routine feedback by the experienced supervisor.
  • There are resources, equipment and facilities provided by the host employer that support learning objectives/goals.

Student Responsibilities

Students are responsible for obtaining their own internships in order to practice the skills required for a real world job search. Additionally, they are responsible for:

  • scheduling and meeting with employers for initial interviews.
  • establishing the details and expectations of the internship by completing the Internship Contract with the employer. Internship Contracts must be received and approved by the Vandiver Center for Career Development Office before students begin their internship. Students may not begin the internship without approval.
  • maintaining a Work Hours Log that will be approved by the employer.
  • participating in an online internship course to enhance their internship experience.
  • completing an online survey about the experience.
  • scheduling a meeting with their supervisor to discuss the final performance evaluation at the end of the semester.

Intern Payment

Students pay tuition for academic internships. Vandiver Center for Career Development encourages employers to consider the benefits of hosting an intern and the cost the intern incurs for participating in an internship. If you cannot pay an hourly wage for a Queens intern, consider offering another form of compensation, such as a stipend or travel reimbursement.
