Queens Catering Services has an exceptionally experienced staff that is dedicated to your every catering request. The following steps will help you through the process of organizing your specific function.

 

Even if the date is only tentative, please make arrangements with the catering department so that we may put your event on our calendar. All other information such as location, number of guests, time of the function and menu selection will need to be decided at least ten business days before the function. For all campus locations, including Young Dining Hall, please contact the Special Events office for Queens University of Charlotte at (704) 337-2560.

 

At least ten days before your event, contact the catering office at ext. 2409, or stop by our offices located in the basement of Trexler Student Center. Most arrangements can be made by phone, others require an appointment with the Catering Director. The office hours are Monday-Friday 9:00 a.m. - 5:00 p.m. Our fax number is 337-2411. After we have finalized all the details of your special event, you will receive an event order form to confirm with a signature. Please carefully review all information on this event form for accuracy and completeness before signing. The contract must be returned to the catering office prior to the event date, and the event sheet must contain the account number to be charged and authorized signature.

 

All cancellations and/or changes regarding the menu, number of guests and event arrangements must be confirmed three business days prior to the event. Any event that is cancelled within this time frame will result in a 50% payment due as contracted on the event form. If you do not contact us with a final number of guests within three business days prior to the event, we will prepare for the estimated number and charge accordingly. If the university's is closed due to inclement weather, then all planned catered events will be canceled.

 

Events under $150.00 are subject to a $15.00 delivery/pick up fee. Events over $150.00 are subject to a 10% delivery charge.

 

Our catering department will provide high quality plastic products as our standard for all events, unless otherwise requested. If china service is requested for your event, there will be an additional fee.

As a standard service we provide tablecloths and table skirting for all food and beverage tables. Linens for guest tables are included only with full service meals and buffets. If you would like linen to be placed on guest tables for receptions, breaks or box lunches there will be a $5.00 charge for each tablecloth and a $15.00 charge for each table skirt. The same applies for registration tables, nametag tables, head tables and any additional table that will not be directly used for food and beverage setup.

 

To ensure that your event is a success, catering staff will need to be provided for all served meals and buffets. A fee of $17.50 per hour per attendant will be applied and will include setup and cleanup time. We recommend that you have one attendant per every 30-40 guests for receptions and buffets, and one attendant per every 10 guests for served meals. Wait staff is not taxed. There is a four (4) hour minimum required for an event staffing brought in for an event.

 

There will be a minimum charge of $50.00 for food and beverage orders. This does not include the delivery fees. Arrangements for orders less than the minimum dollar amount may be made if they are picked up during office hours 9:00 a.m. - 5:00 p.m.

 

As the host of the catered function, you are responsible for the equipment we have provided for the service of your event. Any missing or damaged catering equipment, including plates and glasses that are not present when the event is cleaned up, will be charged to your account as replacement costs.

 

We will be happy to order, receive, and handle specific floral and decorative requests for an additional fee in accordance with your specific needs.
