Q-Card Terms & Conditions

​The Q-Card is the official identification card of Queens University of Charlotte. By using this card, you agree to all terms and conditions, including future amendments. Queens reserves the right to modify these terms and conditions without notice to the Cardholder. Violation of the following terms and conditions may result in the confiscation of the card.

The Q-Card

The Q-Card, and its digital and temporary alternatives, identify the Cardholder as a student, faculty, staff, or sponsored guest of the university. The Q-Card should be carried at all times and presented to university officials upon request. The card is also the mechanism for accessing the Cardholder’s Stored Value Accounts. The Cardholder must present their card at the time of use to purchase products or services. In addition, the Q-Card can be used for door access, to gain admission to athletic events and intramurals, and to track attendance.

  • The Q-Card is the property of the university and is non-transferable. The Cardholder may not loan their card to another student, employee, or other individual. Any attempt to use or obtain a Q-Card for fraudulent purposes, or to assist in doing so, may subject the Cardholder to disciplinary action, including referral to the Office of Student Conduct or Queens University of Charlotte’s Human Resources office.
  • The Q-Card may be confiscated from the Cardholder as a result of inappropriate or illegal use or failure to comply with these terms and conditions.
  • As part of the ID technology fee, all first-year students receive a prepaid Q-Card.
  • On the first day of employment, all university faculty, staff, and sponsored guests will receive a free Q-Card.

Replacing Lost, Stolen, or Confiscated Cards

Cardholders are obligated to report lost or stolen cards immediately to the Q-Card / Campus Police department so that the missing card can be deactivated, and the cardholder can request a new card. The Campus Police Department can be reached via email (campuspolice@queens.edu), by telephone (704-337-2306), or by visiting in person in Watkins Hall, from 8 a.m. until 4 p.m. Monday through Friday.

If a Cardholder’s card has been confiscated, that person will need to make an appointment with the Chief of Police to discuss its return.

The Cardholder is responsible for paying a replacement fee for the re-issuance of a card. Replacement cards may be obtained by visiting the Q-Card / Campus Police Department, located in Watkins Hall. The cost for the replacement of a lost, stolen, or confiscated Q-Card is $25.00.

Replacing Damaged Cards

No charge will be imposed for the replacement of a Q-Card that ceases to function due to normal, daily usage. Characteristics indicating normal usage are a scratched or worn stripe, frayed or peeling plastic overlay, or horizontal breakage/cracking. Characteristics not indicating normal usage are: broken edges or corners, hole punches, and vertical breakage/cracking. A charge will be imposed for the replacement of a Q-Card not indicating normal usage. The determination of whether a card has been damaged by normal usage is at the sole discretion of the Q-Card / Campus Police Department.

Changes in Terms & Conditions

The terms and conditions are effective and remain binding until the Cardholder is otherwise notified in writing. If any changes are made to the terms and conditions, the Q-Card / Campus Police department will provide the Cardholder with notice of change(s) at least twenty-one (21) days in advance of the effective date.

If a change in terms and conditions is necessary to maintain or restore the security of the account, to comply with applicable law or policy, or to make a technical correction to these terms and conditions, prior notice is not required.
