Check In & Out

The following information will help you navigate the check-in and check-out process. Please read through the information before you arrive and before you checkout so you know what to expect.

Check-In

Check-in occurs at the Conference & Event Services Office (CES).

Check-In Hours:

  • Sunday-Saturday: 10 a.m. – 4 p.m.
  • Please inform us at least a week in advance of your arrival time.

If you need to make arrangements for after-hours arrival, you must notify internhousing@queens.edu at least two weeks in advance to ensure we can follow through with proper protocol to get you keys and information on arrival.

Payment: At check-in, residents will not be allowed to move in if they have not made their first summer payment that was due May 1. Acceptable payments are credit or e-check through the Conference and Event Services online payment center linked in the invoice email. If rent was paid before arrival, please bring a printed copy of your receipt.

Keys & Other Items: At check-in, you will receive a dorm key, ID card, parking pass (if parking fee is paid), and internet access information. Please be careful with these items during your stay; do not lose them. There are charges for any lost keys or unreturned items upon checkout.

Room Condition Report: The Room Condition Report is an important form that documents the condition of your dorm room at the time of move-in and will be used to assess damages to the dorm room at the time of checkout. This form will be emailed to you after check-in and must be filled out completely and thoroughly. You will have 48 hours to complete this report and submit it to internhousing@queens.edu.

Checkout

Residents must check out and return their keys and ID on or before their scheduled departure date to avoid additional charges.

Check-out can happen during the office hours of the scheduled departure date. To properly check out, please bring your keys and ID to the Conference & Event Services Office (CES).

To Avoid Additional Charges: Do not check out until you have completely moved out of your dorm room. If you return your items and continue to move out, you may be charged an improper checkout fee or for the additional night(s) you or your items remain in the dorm. A staff member will perform the checkout inspection shortly after you check out, even if other residents occupy the rest of the dorm room.

If our office does find the need to charge for improper checkout, damages, or additional cleaning, you will receive an email within a week of your departure. If there are no charges, you will not receive an email.

Left or Forgotten Items: Any items left in the dorm will be removed or thrown out. It is important to leave the dorm room in the condition you received it. Please ensure you clean your bedroom and any common areas you use, including the bathroom.

Additional Nights: You may add additional nights to your stay as long as it is within the program dates or May 23 – August 1, 2026. Please send a written request to add nights to internhousing@queens.edu. The nights will be added to your stay, and you will receive the bill for the additional nights. You will need to make payment for those nights within 48 hours of receiving the bill.
